Bad Check Maintenance
The Bad Check Maintenance form gives you the ability to track customer’s bad checks.
When the cashier enters the customer card number at the Front End the system sends a message to the checkstand warning the checker against taking another possible bad check. The cashier can request that the customer pay with a different tender, or a manager can override the warning to accept the check.
From the Customer’s Icon select the Bad Check Maintenance task. The screen defaults to the Edit a Bad Check form. To add a bad check, press the Add a Bad Check button from the Toolbar.
The Add a Bad Check form is used to:
- Enter information about a bad check written by a customer into the system.
- Document a call to the customer and/or prepare a Bad Credit letter.
- To add information about a bad check written by a customer:
- Get the bad checks returned from the bank.
- Find the customer by using the Retail Search form. Press the Search button in the toolbar and select the criteria. You may search by Name, Card Number, Driver’s License, Birth Date, City, Zip Code, Phone Number, Points Earned, or Modified date. Partial information may by entered. For example, select “Last Name” in the Column field, select “Like” as the Operator, and type in “smi” in the Value field. Press the Find button. All the customers with “smi” in their last name (smith, smitty) will be displayed in the list. Up to 3 fields can be selected from the options above to filter your search. Double-click on your selection, or highlight the name and press the OK button, to populate the Bad Checks Maintenance form.
- If the customer is not on file, enter the card number in the Search by Card Number field and press the ellipsis button to the right of the field. Retail will go to the Add a Customer Customer_Maintenancein the Customer Maintenance form and allow you to add the customer to the file before adding the bad check to the record.
- Enter the information for each bad check written by the same customer.
- Check Number
- Check Date
- Amount
- Fee: The Check Fee for processing the bad check is entered by default through the installation of Retail. Change Check Fee by typing in a new fee in this field. Note: To change the default check fee use the Set Check Return Fee button from the Toolbar. This fee also needs to be edited in POS Information Check Return Fee for franking the check.
- Memo: Enter any notes about the customer in the memo field. You should enter any communication with the customer about the bad check, such as phone calls or mail received. Press the Tab key or the Enter key to move to the next field.
- Verify that the Write Checks0ACBO0 check box is cleared. If there is a check mark in this field, the customer can continue to write checks. If not, the customer will not be able to write another check until the Bad Check situation is rectified. Removing the check mark here will automatically clear the check mark from the Edit a Customer form.
- If this is the first contact, call the customer and check the CalledCalled_checkbox field. The system automatically fills in the current date in the display field to the right.
- When you make the second contact, check the Letter 1 Letter_1check box Retail will automatically generate the first bad check letter. NOTE: You must have Microsoft Word installed on the Back End computer to view or print the letter.
- When you make the third contact, check the Letter 2Letter_2 checkbox.
- When you make the fourth contact, check the Letter 3Letter_3 checkbox.
- Print the Bad Checks Report.
- To edit an existing bad check, click on the Edit a Bad Check Edit_a_Bad_Checkbutton for the toolbar.
Tips: To change the default check fee click the Set Check Return Fee button from the Toolbar and enter in a new fee. This will change the check fee for every bad check added in the future. Make sure to also change the check-franking message from the Receipt Banners task in POS Information to correspond to the new fee.
Note: If the customer is linked to another customer the Links button will be raised. Click on the Links button to display the linked customer’s information. To remove the check writing privileges for the linked customer, go to Customer Maintenance.
