The Employee Maintenance procedure is used for adding or editing employee information.

From the Administration Icon, double click on the Employee Maintenance task. The dialogue defaults to the Edit an Employee dialogue. To add a new employee press the Add an Employee button from the toolbar.

To add a new employee to your system:

  1. Get the completed Employee Application.
  2. Add the following employee information:
    • Last Name
    • First Name
    • Driver's License #
    • Birth Date: Enter the employee’s Date of Birth. The Birth Date is used in calculating if an employee is old enough to sell a product that is set up with age verification, such as cigarettes. If the employee is not old enough the Check stand will prompt for an override. The age of the manager performing the override will also be verified 
    • Job Title
    • Cashier Security Level: The security Levels for each Checkstand function is set up in the Security Administration/Checkstand Functions tab.
    • Admin Security Level: An employee will only have access to the information of those employees with the same or lower administration security level.  When adding an employee to the system, the person signed onto the Back End will only be able to assign cashier and administration levels which are the same or lower than their own administration level.
    • Back-End Profile: Use the drop down box to select a Security Profile for the Employee.  This regulates the tasks that the employee will be allowed to view and access in the Back End. Security Profiles are created in the Profile Maintenance form, which may be viewed by pressing the ellipsis button to the right of the field. (To create a new profile, access Profile Maintenance from the Administration Menu).
    • Active: This is active by default. If the employee has left, unflag this field to make the employee Inactive.
    • Only SCO: Used to assign an employee to the Self Checkout Lane only, or to track the sales on the Self Check Out lane to a generic employee name.
    • Memo: Optional, enter any relevant notes.
  • Passwords
    • User Name: Enter a User Name, which will be requested along with a password when an employee signs on to the Front or Back End. This is only applicable when UseUserName=1 is entered in the Ros.ini file on each Front End machine. Without the ros.ini entry, the user will only be required to enter his or her password.
    • Front End: The numerical password used to sign on to the checkstand.
    • Back-End: Enter the employee's administrative password in this field. This is the password the employee will use to sign on to the Retail Back End. This also allows the employee to perform all Manager functions on the checkstand. Retail reads the Back End password and determines the security by the Cashier and Manager Security levels, as shown by pressing the ellipsis button to the right of the Cashier Security field.  On the checkstand, the Employee must enter a Back End password to get into the Manager’s screen at the checkstand, but the security to allow the employee to perform a ‘Check Override’ is determined by that employee's Cashier Security level. NOTE: Cashiers who do not have manager rights do not need a back end password. Leave this field blank.
  • Force Reset Password
    • Front End: Check this box to force the employee to create a new password the next time he or she signs onto the checkstand.
    • Back End: Check this box to force the employee to create a new back end password the next time he or she signs on.
  1. Verify the Active Check box Active_Employeeis checked when you are adding a new employee.
  2. Save the new employee information by clicking the Save Current Record in the toolbar.
  3. Repeat steps 1 through 4 for each employee you want to add.
  4. Print the Employee Report Print_Employee_Reportif desired.
  5. Exit the Add an Employee Dialogue by clicking Exit Current Window button in the toolbar.
  6. Synchronize Checkstands with Employee Information.

Tip:   The Checkstand Security levels are for all Checkstand Manager functions and Transaction keys. The Back End Security Levels apply only to certain functions on the Back End.
