The Store Close procedure may be set up to run automatically every day at a specific time, or it can be run manually, if desired. In the case of a 24 Hour Store24_Hour_Store, the store close must be performed manually.

To run the Store Close manually:

  1. From the Administration Menu, under Operations, click on Close Store.
  2. Press the Run NowRun_Store_Close_Now button.
  3. Press O.K. to run the store close, or Cancel to stop the process.
  4. The Store Close form will list the Date, Time, Description, and last Step completed.

To set up the automatic store close time:

  1. Automatic Store Close is setup in the Retail Tasks function. By default it is setup to run at 23:59.
  2. The Auto Store Close also runs Store Close Recoveries to "catch up" if, for example, there were suspended transactions preventing the store close from completing.
  3. To change the Store Close time, contact IT Retail or your reseller.

The store close operation transfers all the Transaction information from the checkstands to the Retail databases, which is then processed. The following tasks are completed:

    • Uploads data from Workstations
    • Moves data into SQL databases
    • Moves Daily Header into History databases
    • Updates Customer Checks
    • Updated Customer Purchases
    • Updates Customer Total Purchases
    • Updates Sales Person Detail Purchases
    • Updates Sales Person Total Purchases
    • Cleanup and Archiving

Sometimes the Store Close cannot access a checkstand.  In most cases it is OK to proceed; however, if you are having a network problem and the transaction information cannot be transferred to the server, sales will be understated.

If at the end of the day, the Store Close is not successful, you can run the Store Close again the next morning and a Store Close Recovery runs.  The Store Close Recovery process will not disrupt the checkstands.

To run Store Close Recovery, from the Administration Menu:

  1. Click on Close Store under Operations.
  2. Press the Run Now button.
  3. Click on View System Log Files to view a log of the Store Close or Store Close Recovery.

Note:  The Store Close Recovery does not remove the transaction data from the Front End computers, so it is a good idea to run an actual Store Close as often as possible.  There may be a problem if the Front End computers are low on disk space.
